Map areas before you count staff
Walk the premises and list every area by type: workstations, cabins, meeting rooms, washrooms, pantry, lobby, staircases, terrace, parking and external approach.
Headcount derived from an area map is defensible. Headcount pulled from a template is a guess that shows up as complaints in month two.
Set frequencies, not adjectives
"Kept clean" is unmeasurable. "Washroom rounds at 9, 12, 3 and 5, with a recorded check sheet" is.
Assign each area a daily, weekly and periodic frequency, and keep the periodic deep-cleaning cycle on a calendar rather than on memory.
Decide consumables and machines upfront
Most disputes in facility management contracts are about who supplies what. Settle materials, chemicals, machines and consumable indenting in the scope document before deployment.
Also agree a reorder trigger, so hand wash and tissue do not run out on the 25th of every month.
Make supervision visible
Checklists signed by a supervisor turn housekeeping from a feeling into a record. That record is also what makes a monthly review productive instead of anecdotal.
